PROTECTING THE SECURITY OF THE FAMILIES WE HONOR
The Military Singing Valentine Program recognizes that the safety and security of our service members and their families are paramount. Our media and data infrastructure are built on a "Privacy-First" architecture, ensuring that sensitive information never enters the public domain or stays on our servers longer than operationally necessary.
We do not maintain a permanent database of military service member identities.
Personally Identifiable Information (PII): Our central systems only collect the Zip Code and Sponsor ID for routing purposes.
Delivery Details: Specific delivery addresses and recipient names are handled exclusively at the "Last Mile" by the assigned local Scheduler. This data is transmitted via secure channels and is never uploaded to our cloud repositories or web servers.
Data Purge: All logistical records containing specific delivery details are permanently deleted from volunteer records within 48 hours of Valentine’s Day completion.
We strictly adhere to military guidelines regarding the publication of faces, names, and locations.
No Public Posting: No photos or videos of Military Singing Valentine deliveries will be published on this website or our official social media channels without explicit, individual family clearance.
Scrubbing Protocols: Any media shared internally for program verification is scrubbed of metadata (EXIF data) to remove GPS coordinates and timestamps.
Social Media sharing: The delivering quartet may assist in sharing photos or videos at the receiving family's personal request. Explicit permission from the military family is required for any and all such data sharing.
Our "Chain of Custody" for information ensures that a request is only visible to the individuals required to fulfill it.
Need-to-Know Access: Dispatchers only see the region they manage and minimal contact information for the individual who will schedule the SV. Only the delivering quartet lead receives the recipient's specific contact details.
Conduct Agreement: All participating barbershop volunteers must sign a Code of Conduct that includes a mandatory non-disclosure agreement regarding the locations and identities of the military families they serve. This includes destruction of all record or names, addresses and media not explicitly allowed by the military family.
If you are a Commanding Officer, Family Readiness Officer (FRO), or Public Affairs Officer (PAO) seeking to verify the legitimacy of a request or a volunteer group:
Please contact our Guidance Team directly by email: Guidance@SingingForSoldiers.com
We are prepared to provide our program credentials and coordinate with base security protocols for on-installation deliveries.
